Preparing your school for a system rollout

A practical starting point for the people, workflows and information involved in introducing a school platform.

Start with the work people already do

List the routines that matter most: admitting a student, recording a payment, reviewing attendance, preparing results and reporting to leadership. Identify who begins each task, who checks it and what a completed task looks like.

Bring examples of the forms and reports your team uses today. Remove personal information from anything shared during an initial discussion.

Give each part of the rollout an owner

School leadership, finance, academics and administration may have different priorities. Nominate someone in each area to explain those needs, review the proposed workflow and help colleagues through the change.

Agree how questions and unresolved issues will be recorded. A shared issue list is more useful than feedback scattered across conversations.

Prepare information before moving it

Decide which records need to move, who is responsible for their accuracy and what the new system actually requires. Review duplicate entries, missing information and opening balances with the relevant team.

Use a small, agreed sample to check the process before moving a full dataset. Keep the original records available until the school has reviewed the migration.

Agree what readiness means

Write down the tasks that must work before rollout, the people who should review them and how support will be reached. Include training and a plan for resolving issues after the first day.
